Sociology service changes due to COVID-19

To ensure the health and safety of our campus community and to reduce the spread of COVID-19, we have adjusted the way we serve you. Western University is open and classes are ongoing. Services are continuing, with some employees required to be physically present on campus, and others required to work remotely.  Learn more.

Effective August 31, Sociology will have have staff working remotely, communicating by email and available for remote appointments and meetings from 8:30am-4:00pm, Monday-Friday. In addition, Sociology will have one staff member present in their office in SSC 10am-2pm. The staff member in-office for the day will have their door closed and a notice on the door indicating that they are in. We encourage you to continue connecting with staff members via email, Zoom, or telephone. However, if you need face-to-face assistance from a staff member, please knock on their door, wear a mask, and respect physical distancing protocols of two meters or 6 feet space.

Preliminary, one-time setup:

  1. Have you signed up for your Western Zoom account? You only need to do this once: go to https://westernuniversity.zoom.us/ and click Sign in.
  2. If your Outlook app is set to another time zone, the time you select for your meeting may show up in a staff member's calendar at another time. Before you make an appointment for the first time (or when you come back from living in another time zone), check your time zone setting. The correct setting for Current time zone for Ontario is (UTC-05:00) Eastern time (US & Canada).

Schedule the Zoom appointment from your Western webmail:

  1. Create a New Event in your Western Outlook Calendar
    • Login to your Western student email at MyOffice.uwo.ca;
    • Select the Outlook app;
    • Click the Calendar icon at the bottom right of the window;
    • Click New Event at the top left.
  2. Select Zoom … Add a Zoom Meeting … Allow
    • Click the Zoom icon  zoom in the top menu of this new event popup window
      - you find it after Response options (if you have a narrow window, you may need to look in the … button at the end);
    • Add a Zoom Meeting
      Note: If this is the first time you are adding a Zoom meeting this current browser session, it asks for you to allow it to open the Zoom add-in and you need to login via SSO
      • Allow the Zoom window to open;
      • In Zoom Schedule Meeting add-in window, Sign in with SSO;
      • Click Sign in with SSO button ... Fill in westernuniversity in the field ... Enter your Western credentials in the Western University login;
    • After doing this, you have the Zoom meeting info in the body of the event.
  3. Type the name of the staff member you need to meet in the invite attendees field
    • Type their name in the invite attendees field below the title;
    • A list of Western members with this name is displayed. Select the one with the matching email from our contact list below.
  4. Use Scheduling Assistant to select a time when you and this staff member are both available
    • Click the Scheduling Assistant view at the top of the window;
    • Use the Calendar icon or date at the top left to view different dates;
    • Change the start and end times listed at the top of the window to move your meeting to a free time;
    • Click Done.
  5. Fill in the title and detail fields
    • In the title field: meeting with {your name} about ...;
    • In the details field at the bottom, above the Zoom info, fill in details about yourself and the reason for this meeting. For a student advisory meeting include your student number, whether you are a main campus student or what affiliate you are from, what module you are currently in, and what you need advice about.
  6. Click Send at top left.

The correct setting for Current time zone for Ontario is (UTC-05:00) Eastern time (US & Canada).

Schedule the Zoom appointment in Outlook:

  1. Click the Zoom Schedule a Meeting icon in Outlook Calendar … Schedule a Meeting Zoom Schedule a Meeting button
    • In Outlook make sure you have selected your @uwo.ca email account
    • Click the Calendar icon at bottom right
    • In the Home ribbon at the top of the Calendar view, Zoom add-in section, click Schedule a Meeting icon … Schedule a Meeting
    • Adjust Zoom meeting preferences, if needed
    • Save
  2. Type the name of the staff member you need to meet in the Required field
    • Type the name in this Required field below the title;
    • A list of Western members with this name is displayed. Select the one with the matching email from our contact list below.
  3. Use Scheduling Assistant to select a time when you and this staff member are both available
    • Click Scheduling Assistant or Scheduling view in the top menu;
    • Use the bottom scroll bar to find an available time;
    • Click a vertical column for a day and time, or enter the date and start and end times at the top;
    • Return to Meeting view (left side of the top menu), and you see the date and time you chose at the top right in that view (check that it is correct) ....
  4. Fill in the title and detail fields
    • In the title field: meeting for {your name} about ...;
    • In the details field at the bottom, above the Zoom info, fill in details about yourself and the reason for this meeting. For a student advisory meeting include your student number, whether you are a main campus student or what affiliate you are from, what module you are currently in, and what you need advice about.
  5. Click Send.

    • In the details field at the bottom, above the Zoom info, fill in details about yourself and the reason for this meeting. For a student advisory meeting include your student number, whether you are a main campus student or what affiliate you are from, what module you are currently in, and what you need advice about.
  6. Click Send at top left.

    • In Outlook make sure you have selected your @uwo.ca email account
    • Click the Calendar icon at bottom right
    • Click the New Skype Meeting button, in the Skype Meeting section of the Home ribbon at the top.
    • The meeting window will open with the Join Skype Meeting link in the details section
    • Click the Meeting Options button in the top menu if you need to to adjust meeting options
  2. Type the name of the staff member you need to meet in the Required field
    • Type the name in this Required field below the title;
    • A list of Western members with this name is displayed. Select the one with the matching email from our contact list below.
  3. Use Scheduling Assistant to select a time when you and this staff member are both available
    • Click Scheduling Assistant or Scheduling view in the top menu;
    • Use the bottom scroll bar to find an available time;
    • Click a vertical column for a day and time, or enter the date and start and end times at the top;

    • Click the New Teams Meeting button in the Home ribbon at the top, Teams Meeting section.
    • The meeting window will open with the Join Microsoft Teams Meeting link in the details section
  2. Type the name of the staff member you need to meet in the Required field
    • Type the name in this Required field below the title;
    • A list of Western members with this name is displayed. Select the one with the matching email from our contact list below.
  3. Use Scheduling Assistant to select a time when you and this staff member are both available
    • Click Scheduling Assistant or Scheduling view in the top menu;
    • Use the bottom scroll bar to find an available time;
    • Click a vertical column for a day and time, or enter the date and start and end times at the top;
    • Return to Meeting view (left side of the top menu), and you see the date and time you chose at the top right in that view (check that it is correct) ....
